Overview:

Our system is built in-house, ergo, nothing is outsourced. The easy functionality of the system and its features permit it to be virtually self-sufficient, saving you countless man-hours and duplication of work, which will increase your productivity, efficiency and revenue.

* This system is totally customizable. Choose the features which you’d like to implement based on your needs. If there’s anything you’re looking for that you don’t see, please ask.

AAWP’s eCommerce System Review:

*Our technology will give your members or your students’ parents the ability to fill out application(s) online and purchase your memberships/courses online—and pay online, instantly—while at the same time, incorporating the members’/students’ information (from their application), etc. along with billing information, directly into your system so that you have instant access. At the same time, the member/parent is concurrently and automatically creating their “member/student account.”

NOTE: The goal is to simplify your ordering system and to “close” the deal online, with a non-refundable application fee. The fee is due at the time of application with credit/debit cards charged instantly.

--Once the member/parent applies and pays, they receive an auto-email from you telling them to login to their account to complete the application process. Required documentation will be detailed in their account.

NOTE: In regard to required documents: The system will create a "required documents" per product/service. This will enable you to define what's required and enable you to update the requirements within the system. Customers/students who are associated with those products will be required to submit these documents. An “active” date will also be included so that prior members/customers/students with those products/services previously submitted aren't required to so again.

--When documents are faxed or emailed to you, the member or the student’s parent checks a box in their account, notifying you instantly, via email, that the documentation has been sent. You respond that you have received the documentation by clicking a link in that email. All correspondence and dates sent, etc. is automatically logged into the member’s/student’s account, “support” file for easy verification. Upon completion of required forms, the system automatically notifies you.

NOTE: Auto-emails will go out at varying intervals should they not comply—with a final notice informing them that their account is suspended until they do so.

--Courses/products to be purchased will be done so by the member or parent logging into their account, where all options will be listed depending upon the member’s/student’s program in which they’re enrolled, and including optional courses/products which may be available to them. The platform also allows for multiple members/students.

AAWP eCommerce System Features:

This platform automatically bills and charges credit/debit cards online. It will then create your invoices and receipts—and generate your sales, etc. reports. (*Every morning you will receive an “Accounting Report” and a “Payment Plan Report”. )

NOTE: It will also deduct payments, automatically, monthly and/or quarterly [at your discretion], from your members or students’ parents’ credit and/or debit cards for your payment options.

*You will be notified instantly via email should a credit/debit card be declined—as well as the member/parent. A link in the member’s/parent’s auto-email will direct them to their account, to update their billing information. (Auto-emails can be sent every few days, at your discretion, should they not pay—until they are terminated, if necessary.)

--Should a credit-card be declined, the member/parent is automatically denied access to their account.

--The system will also automatically alert those with credit cards about to expire to login to their account to update their billing information (this is done easily via a link in the auto-email).

*Early Registration: Auto-emails can even be sent every few days (or months) before “registration” to each member/ parent, for example, as a reminder, with a link in the email that sends them to their account to register, select and pay for courses/products. (Discounts can automatically be instituted for payment-plan options, if applicable.)

Administrator’s/Management Page:

*From your Management Page: You can access all your members’/students’ contact and billing information and account history. A support screen logs any “support” issues when it comes to “tech support” or “billing inquiries” made by the member/parent. (These are answered easily via your “support screen” and are logged into the members’/students’ accounts for easy reference.)

NOTE: Any correspondence via telephone, etc. made by your organization/school to parents or vice versa, for example, may be logged into the members’/parents’ accounts via the NOTE tab on the management page.

*Documents required of members/students will be handled through an auto-system whereby access to all products/courses is denied until the documents are submitted to the organization/school and logged into the system by both the administrators and the members/parents.

*From the Management Page, you may change a members’/parents’ payment options, payment amount, or payment date, which in turn, is automatically logged into the system.

*AAWP’s support system logs “support” issues on the Management Page when clients email. These are then answered by administrators and logged into the client’s account automatically.

*The Management Page can be locked and made available to only administrators, for example, while other parts of the system would be available to applicable parties.

The Member’s/Parent’s (Student’s) Account:

*From the members’/parents’ login page: Members/parents create their account and may login to that account at any time with their username and password. They may change their password and update their credit-card information. They may print their invoices and receipts and view their payment history. They may email “support”, which goes directly to your Management Page where all emails are answered and logged into the member’s/student’s/parent’s account for easy access—by both the administrators and the members/parents.

*From the Members’/Parents’ Account: They will buy additional courses and/or products—or sign up for early registration, etc. all at your discretion.

Edu Management System/Grading:

We will also also manage your Grading System, along with Curriculum Levels, if applicable.

Your Responsibility:

--It is your responsibility to open an account with Authorize.net and a merchant account for credit-card processing.

System Operation and Branding:

--AAWP hosts the ordering pages, Management Page, and Member/Student Accounts on their servers. Once a member/ parent clicks to order online, they will be directed to our servers, but will never know they’ve left your website. Our pages will mimic yours.

Time-frame for Implementation: six months.

In summary: The system is designed to be self-sufficient, requiring very few man-hours for operation and support. It saves countless man-hours while at the same time, increases efficiency and productivity and ergo, revenue.

Training and support is included with the system. It will not go “live” until is has been thoroughly tested and your people thoroughly trained in its use.
